With scapta and Business Central towards more efficient processes and even better service at Calvet

Machines running at full speed – Calvet knows all about that. As a specialist in machines for processing aluminium and PVC profiles, they ensure streamlined production processes for their customers. Behind the scenes, however, Calvet was facing outdated systems: support for their existing ERP system, Microsoft Dynamics NAV, was coming to an end. An upgrade was no longer a luxury, but a necessity.

Alternative partners and solutions were considered, but in the end Calvet once again turned to scapta. Something about the grass being greener on the other side… because when it clicks, it clicks. And the results speak for themselves! A smooth Business Central implementation, optimized service management, and a digital future full of promise.

From rigid to flexible and future-proof

As a supplier of high-end machines – from CNC machining centers to sawing machines – Calvet understands better than anyone how crucial efficiency is. They pride themselves on top-quality machines and excellent customer service. Making industrial processes smarter and more efficient is their craft. However, their own internal processes were increasingly slowing down. The move to a cloud-based ERP solution had become inevitable.

Jean-Pierre, Administration & Finance Manager at Calvet and a seasoned NAV user, looks back:
“We knew we had to do something. The only question was: which solution would really move us forward? And perhaps even more importantly, who would be the ideal partner for this, now and in the future?”

Smart digitalization without unnecessary customization

Calvet once again chose scapta with full confidence. Mutual trust and their well-known pragmatic approach were decisive. No unnecessary customization, but a well-thought-out implementation of Business Central as an extension of existing internal processes.

Marco, business consultant at scapta, explains:
“Calvet already had a strong foundation with NAV, and the move to Business Central meant modernization without completely overturning their familiar way of working. Simplicity was key! Smart integration of the service management module, automated invoice processing, and making the entire process future-proof.”

During the implementation, several additional smart digital steps were immediately included:

  • Document Capture for automatic invoice recognition, saving time and making administration significantly more efficient.

  • The existing planning tool was moved to the cloud, allowing service appointments to be managed even more flexibly.

  • Smart optimizations of digital work orders, enabling technicians to follow up their work in a much more detailed and user-friendly way.

Faster and with fewer worries

Business Central not only delivered time savings, but also a modern look & feel. Processes now run more smoothly, and field staff work more efficiently.

Jean-Pierre quickly noticed several benefits:

  • 95% of business processes now run through Business Central.

  • Technicians in the field register their work faster and more accurately, resulting in streamlined service, fewer missed margins, and satisfied customers.

  • An IT environment that is ready for the future, with less customization and more automation.

Scapta remains a trusted partner for Calvet, but with an important nuance.
“The support scapta provides is extremely strong, but we are also increasingly able to solve things ourselves. That says it all: they don’t just set up systems, they also take care of the human factor. Being able to work independently is very reassuring – it gives us confidence in both the solution and the future,” says Jean-Pierre.

What does the future hold? Even more digital!

Calvet is not done innovating yet. The next step? Improved offline functionality for technicians, so they can work smoothly even without an internet connection. After that, the Calvet webshop is next. It will be fully integrated into Business Central, allowing customers to consult real-time product information and stock availability. Music to the ears.

Jean-Pierre concludes:
“Thanks to scapta, we didn’t just make the transition – we also laid a solid foundation for further digitalization. We look forward to the next steps.”
