When you work with public funds, partner organizations in 13 countries, and thousands of donors, you need to be able to rely on your figures. Broederlijk Delen—an NGO committed to fair redistribution of power, resources, and raw materials within the limits of a finite world—knew this all too well.
Their previous accounting system was due for replacement: it lacked flexibility, required a lot of manual work, and no longer integrated with the broader cloud environment in which the organization was already operating.
The move to Business Central also fit perfectly within the broader cloud strategy of recent years: a transition from on-premise to Microsoft 365, with a clear focus on scalability and efficient collaboration.
A public tender was launched to determine who could guide them toward a new, future-oriented way of working. Scapta stood out thanks to their transparent approach, practical expertise, and experience with non-profit organizations.
The result: an implementation that ran smoothly and now provides a solid foundation for further digitalization.
Everything aligned
Before the transition, each department at Broederlijk Delen worked in its own way. Invoices arrived by email or on paper, approvals followed indirect routes, and reports were often compiled manually. Not ideal for an organization dealing with complex funding structures, public funds, and international partners.
Today, the entire organization works in an integrated way, with Microsoft Business Central as the central platform for:
-
automatic processing and approval of purchase invoices (Continia)
-
management of donations and webshop sales (Creatio CRM)
-
clear, real-time reporting (Power BI)
Each invoice automatically receives the correct dimensions, such as cost center, budget code, and funding source. Responsible managers are notified, link costs to the appropriate project, and complete the process themselves. Less noise, more control.
“Our campaign slogan ‘Sharing does good’ is reflected by scapta in the way they share their knowledge and experience, translating it into an efficient implementation trajectory.”
— Diederik Janssens, Financial Manager
A strong start is half the battle
The success of the project lies not only in the technology, but above all in the preparation. Scapta worked closely with the Broederlijk Delen team to map processes, organize workshops, and train employees.
“The preparation was extremely thorough. As a result, the final sessions were almost redundant. Everyone knew exactly where they were heading,” says Mark Peeters, former head accountant. “We no longer have to collect paperwork or double-check things. Everything is in the right place from the start.”

A digital foundation to build on
Broederlijk Delen continues to move forward. Integrations with Quipu (for project management), Power BI (for reporting), and further automation of Peppol and reminder workflows are already in progress. Post–go-live support is also running smoothly, with quick assistance for concrete questions about access rights, depreciation, or user workflows.
The digital foundation is in place. And that allows Broederlijk Delen to fully focus on what truly matters: a fairer world.
